Edit and Retire Log

Edit/Revise a Log

Navigation:
View Logs → Locate Log → Action Column (⋮) → Revise

Users with appropriate permissions may revise an existing log to:

  • Modify log name
  • Update task names
  • Change task frequencies
  • Adjust schedules, result types, or instructions
  • Update associated details

Once revisions are complete, users must choose one of the following options:

Option A: Update Existing Version (Minor Change)

Select “Update only, no new version” when:

  • Changes are minor and non-procedural
  • No impact to compliance intent or workflow
  • Examples:
    • Typo correction
    • Clarifying task instructions
    • Adjusting notification recipients
    • Minor frequency timing adjustment (e.g., 9 AM → 10 AM)

Outcome:

  • Log version number remains unchanged
  • Changes are reflected immediately
  • Audit trail captures who modified the log and when

Option B: Create New Version (Major Change)

Select “Save changes and create a new version” when:

  • Changes affect compliance, workflow, or SOP intent
  • Examples:
    • Adding or removing tasks
    • Changing frequency type (daily → weekly)
    • Changing result type (numeric → pass/fail)
    • Major procedural updates
    • Instrument scope changes

Outcome:

  • New log version is created
  • Previous version is retained as read-only
  • Full version comparison is available
  • Audit trail preserves historical integrity

Retiring a Log

Navigation:
View Logs → Locate Log → Action Column (⋮) → Retire

Use Retire Log when:

  • Instrument is decommissioned
  • Procedure is discontinued
  • Log is replaced by a newer version or workflow

Behavior:

  • Retired logs cannot be edited or used for new entries
  • Historical records remain accessible
  • Retired logs can be filtered via:
    • View Logs → Filter → Status → Retired
