Find and review an instrument
Select View Instruments from the side navigation bar. Use the filters at the top of the page to search by name, serial number, model number, department, device type, or instrument status.
Each instrument displays its name, model number, serial number, and device ID. An image and any additional details entered for the instrument will also appear, if available.
The task label shows the instrument’s current task status:
- Overdue shows how many tasks are overdue.
- Due Soon shows how many tasks are coming due.
- Up to Date means there are no overdue or upcoming tasks shown.
The actions described below can be accesses by clicking the three dots in the top-right corner of each instrument.
Upload and manage documents
To upload a document:
- Select the instrument’s three dots on the top right corner, then select Documents.
- Open the Upload Document tab.
- Select a document type from the dropdown. If the type you need is not listed, enter a new option and select Add.
- Add a note about the document, if needed.
- Select Browse Files and choose the file.
- Select Upload in the bottom-right corner of the dialog.
The document will appear in the instrument’s document list, along with the name of the person who uploaded it and the upload date.
To review documents later, open the instrument’s Documents section. You can select Edit Note to update a document’s note or delete a document. To view previously deleted documents, select the Show Deleted checkbox at the top right of the document list. The system retains a record of deleted documents.
You can also access an instrument’s documents from a log associated with that instrument. Go to View Logs, open the relevant log, and find its document section.
Copy an instrument
If you need to add another instrument with the same model, manufacturer, or other shared details, select the existing instrument’s three dots on the top right corner and choose the option to copy it. Then update the details unique to the new instrument, such as its serial number and device ID.
Edit instrument details
Select the instrument’s three dots, then select Edit Instrument. From there, you can update its details, add or change its image, and update any comments previously entered for the instrument.
Take an instrument offline or restore it
If an instrument is out of order or down for maintenance, select the three dots on the top right corner and choose the action to take it offline. Enter the reason when prompted, then confirm.
When the instrument is ready for use again, select its three dots, choose Restore Normal, and confirm.
Retire an instrument
Click the three dots on the top right corner and choose Retire. The instrument’s status will change to Retired.
You cannot retire an instrument while it is associated with an active log. If retirement is blocked, find the associated log, edit it, and remove the instrument from the log. Then return to View Instruments and retire the instrument.
