Check In

The Check-In function in Lab Symplified is used to add inventory into the system when items are received. It allows users to record important details such as quantity, lot number, expiration date, and received date while maintaining a complete audit trail. Check-In should be used when receiving supplies into the inventory, ensuring accurate inventory tracking and full traceability.

Procedure

1. Barcode Scanning Check-In

  • On the Check-In page, begin scanning supplies.
  • If the barcode contains lot number and expiration date, Lab Symplified will automatically capture this information.
    • Note: Always double-check to confirm accuracy.
  • If additional quantity needs to be added:
    • Scan the same item multiple times, or
    • Manually update the quantity field.
  • If an item does not require lot or expiration information, leave those fields blank.
  • Continue scanning until all items are entered.
  • Select Complete Check-In to finalize.
  • Items will now appear in the Inventory Table with lot number, expiration (if applicable), and updated quantity.

2. Manual Check-In

  • On the Check-In page, select Search by name and type the name of item you need to check in.
  • Enter the required item details:
    • Lot number (if applicable)
    • Expiration date (if applicable)
    • Quantity received
  • Click Complete Check-In to update the inventory.

3. Check-In via Orders Page

  • Navigate to Orders → Orders Tab.
  • In Items View, select item(s) ready for receipt.
  • Click Check-In.
  • The Receive Order dialog opens with pre-filled item details (if configured).
  • Enter or scan:
    • Lot number (if required)
    • Expiration date (if required)
  • Enter the received quantity.

Status Outcomes

  • Fully Received
    • Received quantity equals ordered quantity.
    • Item is removed from Orders.
    • Inventory counts update in the main inventory table.
  • Partially Received
    • Received quantity is less than the ordered quantity.
    • Inventory updates with received quantity.
    • Item remains in Orders until fully received or resolved.

Printing Labels from Check-in page(If Enabled)

  • After completing check-in, click Print Received Date Label at the top right corner.
    • The label will display the received date and the received by details.
  • Alternatively, scroll to the Recently Checked-In Items section at the bottom of the Check-In page:
    • From the Action Menu, select Print Label.
    • Quantities can also be edited here if necessary.
