Inventory Table Overview
The main inventory table provides a centralized view of all items recorded in Lab Symplified. It helps you track, manage, and update inventory while keeping it accurate, compliant, and fully documented throughout each item’s lifecycle.
1. Accessing Inventory
- Navigate to the Inventory section from the homepage or the side navigation bar.
- All active items are displayed in a table format, showing key information such as:
- Item Name — Name of the inventory item.
- Catalog Number — Manufacturer’s reference number for the item.
- Lot Number(s) — Lot number of the item for traceability.
- Received Date — Date item was checked in (editable if actual received date is different).
- QC Date — Date QC was acknowledged in QMS (editable if actual QC date differs).
- Expiration Date — Date the item expires.
- Quantity — Total available amount (represents unopened quantity in detail tracking mode).
- Open Qty (if applicable) — Quantity checked out for use until used, disposed of, or expired.
- Unit — Measurement unit (e.g., each, box, mL).
- In Use — Number of items currently in use.
- Status (Related to Order) — Order status (Requested, Ordered, Delivered, Back-ordered)
- Search by name, catalog number, or by scanning an item - You can search by item name, catalog number, or by scanning a barcode. To search by scanning, simply scan an item while on the Inventory page, with or without clicking into the search field.
Each item in the table has an options menu (three vertical dots on the right-hand side). Selecting this menu provides the following functions:
- QMS: Access the QMS functions: upload records and acknowledge QMS tasks such as lot correlation, QC documents or Certificates of Analysis.
- Item History: View a chronological record of all changes made to the item, including edits, check-ins, checkouts, and adjustments.
- Edit: Update item details such as lot number, expiration date, or unit information.
- Checkout: Record when an item is removed, used, or consumed from inventory.
- Add Note: Attach a note to the item for reminders, clarifications, or additional context.
- Print Label: Generate and print a label to affix to containers, boxes, or equipment.
- Retire: Mark an item as no longer active or in use. Retired items remain documented for audit purposes but are excluded from active counts.
- View Activity: Review a summary of all actions performed on the item (e.g., edits, checkouts, QC entries).
- View/Edit Details: Open the full item record to review comprehensive details or make updates.
- Upload File: Attach supporting files directly to the item, such as package inserts, validation documents, supplier documentation, or internal records.
- Quarantine Lot: Place a specific lot into quarantine to prevent its use. Quarantined lots are not available to check out until the quarantine is lifted.
