Mobile Drive Admin Guide

Audience: Mobile Drive Admins
Goal: Set up drives accurately and keep inventory/devices current.

Access and dashboard basics

  1. Log in to Lab Symplified.
  2. Open Lab Symplified Mobile Drive from the dashboard/menu.
  3. Review the Mobile Drive dashboard list and statuses.
Drive actions (three-dot menu)
  • Edit (available until drive is in received status)
  • Cancel (available until drive is in received status)
  • Export to PDF

Manage Devices

Go to Mobile Drive → Manage Devices.

This is your device inventory dashboard. It shows:

  • Total devices tracked
  • Available devices
  • Devices assigned to active drives
  • Devices allocated to future drives
  • Breakdown by device type

Add a device

  1. Click Add Device
  2. Enter Device Name
  3. Optional: enter an internal identifier
  4. Select Device Type
    • If it doesn’t exist, create it using the +
  5. Barcode:
    • If it already has a barcode: scan to use the existing barcode
    • If it does not: use Generate Barcode (Lab Symplified assigns a unique code to the device)
  6. Save

Other Options

  • Archive: archives the device and cannot be used for future drives
  • Clone: use clone to create another instance of same device type. Device name, barcode must be unique

Create a mobile drive

1. Drive Details

  1. Click Create Mobile Drive (top right)
  2. Enter:
    • Drive Name
    • Drive Date
    • Transport Unit
    • Notes (visible to field staff)
  3. Next → continues to next step

If you need to save your progress and come back later use “Save for later


2. Inventory Items

Select all inventory items that are needed for the drive by either scanning the barcodes or manually searching and adding from “Search Inventory”.

  1. For each inventory item, Choose Lot/Received Date (if applicable). Lot number & Received date is automatically selected if the barcode contains the details.
  2. Enter Quantity (and select unit of measure if applicable)

Inventory Quantity Deduction:

After lot and quantity selection, “Save for Later” will deduct the quantity from the inventory immediately.

Next” will NOT deduct quantity until saved or mark as packed


3. Non-Inventory Items (optional)

Add any non-inventory items that are packed with the drive

  • Enter name + quantity + Unit
  • Optional lot/expiration fields

4. Devices

In the device step:

  • Scan device barcodes to add them to the drive or choose from the select device dropdown and “+Add”
  • If “Device not found”:
    • The device isn’t added in Manage Devices, or
    • Barcode is not configured in Manage Devices

Devices that are current assigned with active or future drives cannot be added to a new drive


5. Review and Save

  • Confirm drive details, devices, supplies, lots & received dates, quantities
  • Adjust anything that’s incorrect by going to their respective steps

When everything looks good :

  • Click Mark as Packed
  • Status of the Drive now changes to “Packed” in the dashboard

Post-drive return steps

After field staff reconciles, Admin completes returns. Go to “Return Supplies & Devices” step

A) Return devices

  • Scan/confirm devices returned
  • If a device is broken/out-of-service:
    • Mark status and add notes
  • Save changes

This step is required to make devices available for future drives.

B) Return supplies

  • Add unused items back into inventory using the “add back” control
  • Inventory updates after admin adds items back

B) Close the Drive

When devices and supplies are handled:

  • Click Close Drive
  • Drive moves from Active to History
