Requests and Orders

The Requests and Order (Order Menu) in Lab Symplified provides a standardized workflow for identifying items that need replenishment, submitting requests, creating requisitions, and tracking order status. This feature helps ensure accurate inventory planning, improves visibility into ordering activity, and maintains traceable procurement records. It supports laboratory staff involved in requesting inventory, managing requisitions, and monitoring order progress, ensuring a consistent and organized ordering process.

Procedure

4.1 Identifying Items to Order and Adding to Wish List

  • Navigate to the Inventory table.
  • Identify items that require ordering (e.g., low stock, upcoming usage).
  • Select one or more items from the inventory table.
  • Click Add to Wish List (top-right above the inventory table).
  • Selected items are added to the Wish List.
  • The item status in the inventory table updates to Requested.

Note: The Wish List functions as a temporary cart for grouping items intended for ordering.


4.2 Accessing the Orders Module

  • From the left navigation bar, select Orders.
  • The Orders module contains two tabs:
    • Wish List
    • Orders

4.3 Managing the Wish List

  • Open the Wish List tab.
  • Review all requested items.
  • Apply filters as needed:
    • Location
    • Department
    • Vendor
  • Select items ready for ordering.
  • Click Create Requisition.
  • To remove an item from the Wish List, click the three dots next to the item in the Action column and select Delete.

4.4 Creating a Requisition

  • The Requisition Form opens.
  • Review pre-populated item details, including:
    • Catalog number
    • Purchase unit
    • Min/Max levels
    • Par levels
  • Enter:
    • Order quantity
    • Unit of measure
  • Review usage insights (if configured):
    • Monthly average use
    • Weekly average use
    • Last order date
    • Remaining inventory
  • (Optional) Add item-level comments.

Adding Additional Items to a Requisition

  • Click Add More Items (bottom-left).
  • Search for items using the search bar.
  • Click Add under the Action column to include items.
  • Close the search panel when finished.
  • Click Save to create the requisition.

Result:

  • A requisition is created.
  • Items move from the Wish List to the Orders tab.

4.5 Viewing, Managing, and Exporting Orders

  • Navigate to the Orders tab from the left navigation menu.
  • By default, the system opens in Requisition View, displaying requisitions with unique requisition numbers.

Switching to Items View

  • To review orders at the item level, select the Items View toggle located at the top-right of the Orders page.
  • The Items View displays a consolidated list of all ordered items with key details, including:
    • Item name
    • Catalog number
    • Vendor
    • Location
    • Department
    • Requisition number
    • Order status

Filtering and Selecting Items

  • Apply filters to narrow the list by:
    • Location
    • Department
    • Vendor
    • Status
  • Select one or more items using the checkbox next to each item.

Exporting and Printing Orders

  • With items selected, users may perform the following actions:
    • Export to Excel for external ordering, tracking, or recordkeeping
    • Export to PDF for documentation or review
    • Print the selected order list

These export and print options allow users to generate a clear, itemized order list for use outside the system.


4.6 Receiving and Check-In of Ordered Items

Receiving and check-in of ordered inventory items are documented in a separate SOP.

4.7 Deliver Not Unpacked (Awaiting Unpacking)

  • Select item(s) in the Orders Items view.
  • Choose Deliver Not Unpacked.
  • Status updates to Awaiting Unpacking.

This indicates items have arrived in the lab but have not yet been unpacked or checked into the system.


4.8 Additional Order Actions

From the Options menu (three dots) on an item:

  • Add or edit item-level comments
  • Mark items as Backordered
    • Status changes to Backordered
    • Row color changes to purple for visibility

4.9 Viewing Order History

  • Click History (top-right of Orders page).
  • View historical orders using date filters.
  • Review past requisitions and order activity for audit and reporting purposes.

Ordering Platform Disclaimer

Important:
Lab Symplified does not place orders directly with suppliers unless explicitly integrated with a vendor’s ordering system.

  • Items listed in the Orders section with a status of Ordered represent items that have been finalized for purchase from the user’s perspective.
  • The Orders list should be treated as the single source of truth for determining what needs to be ordered.
  • Users are expected to place the actual orders through their organization’s designated ordering platform (e.g., vendor website, purchasing system, ERP).

Best Practice:
Only create requisitions and order lists when you are ready to proceed with ordering. Creating an order list indicates intent to order, and items in this list are considered ordered for internal tracking and audit purposes.
