Standing Orders

 Purpose

The Standing Orders feature allows users to create and manage standing orders. Users can create a standing order and specify the total quantity expected to be received over time. This enables teams to track how much has been ordered, how much has been received so far, and what remains outstanding. As deliveries arrive, users can check in partial quantities, mark items as delivered, and monitor fulfillment progress against the total standing order. Overall, the Standing Orders menu helps labs plan recurring purchases, track long-term supply agreements, manage staggered deliveries, and maintain visibility into remaining quantities to ensure consistent inventory availability.

Procedure

Create a Standing Order

  1. Navigate to Orders
  2. Select the Standing Orders tab
  3. Click Create Standing Order

Add Items to Standing Order

  1. Use the Search bar (search by Item Name or Catalog Number)
  2. Locate the item
  3. Click Add under the Action column
  4. The item will be added to the list
  5. Repeat to add multiple items
  6. Enter the Total Standing Order Quantity for the added items
  7. This represents the total quantity for the year or the agreed standing order period
  8. Quantity will be received over time
  9. Add Comments (if needed)
  10. Click Save

Viewing Standing Orders

You can view standing orders in two ways through the toggle Requisition / Items (top-right side)

Requisition View (Default)

  • Shows Requisition Numbers
  • Each requisition may contain multiple items

Item View

  • Displays individual items
  • Shows:
    • Total Ordered Quantity
    • Received Quantity
    • Remaining Quantity

Edit or Delete Standing Order

Go to Standing Orders → Requisition View

  1. Click three vertical dots under Action
  2. Select Edit
  3. Modify:
    • Quantity
    • Comments
    • Add additional items
  4. Click Save

You can also:

  • Click Add Item (bottom left) to add more items to the existing requisition

Delete Requisition

  1. Click three dots
  2. Select Delete

Check-In Items from Standing Orders

Items must be checked in as they are received.

Steps

  1. Go to Orders → Standing Orders
  2. Switch to Item View
  3. Select item using checkbox in the left side of the item
  4. Click Check-In (top right)
    OR
    Click three dots → Check-In
  5. Enter Received Quantity
  6. Complete check-in process
  7. Save

System will update:

  • Ordered Quantity
  • Received So Far
  • Remaining Quantity

Delivered Not Unpacked

Use when items are delivered, and you need to notify your staff. Notification will be sent to the configured recipients for this notification type.

Steps

  1. Go to Standing Orders → Item View
  2. Select item checkbox
  3. Click Delivered Not Unpacked

Status changes to:
Awaiting Unpacking

Once items are checked in:

  • Status returns to Standing Order

Add or Edit Comments

  • Go to Standing Orders
  • Click the three dots under Action
  • Select Add/Edit Comment
  • Enter comment
  • Save
