User Management

Purpose

The User Management is used to create and manage users, assign lab/location access, and control user permissions. From this section, administrators can invite new users, define what actions they can perform, resend registration links, print login IDs, and deactivate users when needed.

Add a New User

  • Go to User Management
  • Click Add User in the top-right corner
  • Fill in the required user details
    • First Name (required)
    • Middle Name (optional)
    • Last Name (required)
    • Employee ID (required)
      • This can be an existing employee ID or any unique identifier
    • Job Title (optional but recommended)
    • Email Address (required)
      • Use the user’s work email
  • Select the lab/location the user should have access to
  • Users can be assigned to multiple locations
  • If multiple labs are selected, permissions must be configured for each location separately
  • Select a location from the dropdown
  • Choose permissions under the following sections:
    • Tech Access
    • Supervisor Access
    • Enterprise Access
    • User Management Access
    • Electronic Log Access ( Only available for the customer who has access to the Electronic Log module.
  • Invite User

User Registration Process (User Side)

Once invited, the user will:

  • Open the registration email
  • Click the registration link
  • Enter their Employee ID
    (Must match the ID entered during user creation)
  • Create a password
  • Complete registration

The user can then log in using:

  • Email address
  • Password

Additional User Management Actions

From the User Management section, administrators can also:

  • Resend registration link if it expires
  • Print user's 4-digit login ID
  • Edit user permissions
  • Lock or deactivate users
  • Update lab/location access

To perform additional user management actions:

  • Go to User Management.
  • Locate the user you want to update.
  • Click the vertical three-dot menu on the far right of the user.
  • Select the desired action.
  • Click Save Changes.

Station Users

Station Users are shared, generic user accounts designed for common workstations or kiosk-style use. These accounts are not tied to an individual user and can be used by multiple staff members at a shared location.

Station users are typically used in areas where quick access is needed and individual user tracking is not required.

Key Characteristics:

  • Shared login for multiple users
  • Not assigned to a specific individual
  • Ideal for kiosk stations or shared computers
  • Can remain logged in for continuous use
  • Reduces the need for users to log in and out repeatedly

Station User Permissions
Station users have limited access and can only:

  • Check in items
  • Check out items
  • View inventory
  • Request items

These users do not have access to administrative, configuration, or management features.

Important Consideration

  • Activity performed using a station user is not tracked at an individual user level
  • Use this option only in areas where individual user tracking is not required
  • Labs should ensure this setup aligns with their compliance and audit requirements

Station users provide a convenient option for high-traffic areas where speed and ease of use are prioritized.

Create and Manage Station Users

To create or manage a station user:

  • Go to User Management.
  • Click the Manage Station User button located next to the Add User button.

Create a Station User

  • Enter the Name of the station user (e.g., Receiving Station, Main Lab, Accessioning).
  • Enter a Username.
  • Enter a Password for the station user.

Set Station User Permissions

Select the actions the station user is allowed to perform:

  • Allow Check-In
  • Allow Check-Out
  • Allow Requesting Order
  • View Inventory (if applicable)

To quickly assign all standard station permissions:

  • Select Tech Access to auto-enable all available permissions.
  • Uncheck any permissions that should not be allowed.

Save Station User

  • Click Add Station User.
  • The station user will be created and available for login.

You can use these shared accounts on kiosk or shared workstations where quick access is needed without requiring individual user logins.
