# What's new in User Management

## Roles, a simpler Add User screen

User Management has been redesigned to make access easier to set up and keep consistent. **Your existing users keep exactly the access they have today**, so nothing changes for them unless you choose to update them.

### What's new

- **Roles.** A role is a named set of permissions, such as Tech or Supervisor. Assign roles to users, and when you change a role, everyone with it updates automatically.
- **Three default roles.** Every organization starts with Tech, Supervisor, and Enterprise Admin. You can rename them and change their permissions at any time.
- **Lab roles and admin roles.** Lab roles control what someone can do in specific labs. Admin roles cover company-wide tasks such as managing users.
- **View Inventory is automatic.** Anyone assigned to a lab can view that lab's inventory. You no longer need to grant it.
- **A simpler Add User screen.** Four short steps, with the option to copy access from an existing user and an **Effective access** summary before you send the invite.
- **Find users faster.** Filter the Users list by site, lab, or role, or search by name or email.
- **Single sign-on (SSO).** Organizations that use SSO can let employees sign in with their company account. No separate Lab Symplified password is needed.

### What hasn't changed

- Organizations that don't use SSO continue to sign in with email and password, and QR code sign-in continues where it's enabled.
- Station users (shared workstation accounts) work exactly as before, for organizations that have them enabled.
- Existing users keep their current access as **custom permissions**. Nothing changes for them until you move them to roles.

| Enterprise Access and User Management Access | **Enterprise Admin** role (company-wide) |
| View Inventory checkbox | Automatic for every lab a user is assigned to |

### What we recommend

1. Review the three default roles and adjust them to match how your lab works. See [Managing roles](https://help.labsymplified.com/manage-roles?hsLang=en).
2. Create separate roles for Electronic Logs as per your org needs. The default roles don't include them.
3. \[Optional\] Over time, move users from custom permissions to roles so future changes take one edit instead of many.
